Recording & privacy

Is it legal to record and review sales calls?

In most places, yes, when everyone on the call hears at the start that it is recorded and why. The rules differ by country and, in the US, by state. About a dozen states, including California, Florida and Washington, require every party to agree to recording. A short notice at the start of the call is how most businesses handle it.

In the EU and the UK, recording for quality and training usually rests on legitimate interest: tell callers at the start, say why, and respect an objection. Have your counsel confirm the wording for your market. We are not a law firm.

Who tells the customer?

You do. Your company decides which calls are recorded and why, so you are the controller and we process calls on your behalf. Callers hear the notice from your phone system or your rep, and your team learns about call reviews from your internal policy.

We give you a notice script to adapt for inbound, outbound and booked calls, and we delete any call you ask us to, together with its review.

What should the notice say?

For example:

“This call is recorded and reviewed, including with AI tools, for quality and training. Tell me if you'd rather it wasn't recorded.”

Add a link to your privacy notice in follow-up emails.

Do you analyze how my reps feel?

No. Reviews look at what was said and done on the call: questions asked, objections answered, the next step booked. We don't score your reps' emotions. In the EU, AI that infers employees' emotions at work is banned under the AI Act, Article 5(1)(f), except for medical or safety reasons.

What happens to our recordings?

We use your calls only to run the service for you, never for other customers. We don't train AI models on your calls. We don't keep the audio after transcription. You choose how long we keep transcripts and reviews, and any call can be deleted on request.

We sign a data processing agreement with you before the audit starts.

Which CRM and phone systems work?

Connected today: Bitrix24. For HubSpot, Pipedrive, Aircall and other stacks we build the connector during setup and agree the date before you pay. The audit needs no integration: send recordings as MP3 or WAV files.

Which languages?

Oyendo reviews calls in the language your team speaks. Whatever the language, you see reviews of your own calls before you pay for setup.

How fast does a review arrive?

With a connected phone system or CRM, a couple of minutes after the call ends: the recording is picked up as soon as your system makes it available. On Bitrix24 that takes seconds. On other stacks, timing depends on the connector we build during setup. Audit results come within 48 hours of receiving the calls.
